Privacy notice

This notice explains what personal information Greenwood Youth Project CIC collects, why, who it may be shared with, how long it is kept and the rights you have under UK data protection law.

Who we are

Greenwood Youth Project CIC ("Greenwood Youth Project", "we", "us") is the controller of the personal information described in this notice. We are a community interest company.

What information we collect

We only collect what we need for a specific purpose. Depending on how you deal with us, this may include:

  • your name and email address
  • your school or organisation and your role
  • details of your enquiry, such as who a session is for (for example a year group or audience), approximate numbers and preferred dates or timings
  • partnership information, such as your organisation's interests and aims
  • Ambassador applications: your location, role or profession, how you'd like to get involved, what you tell us about yourself and an optional website or social link
  • information about speakers, programme facilitators and other people involved in delivery, needed to approve and support them
  • programme and evaluation information, which we aim to keep anonymous or aggregated
  • photographs and video, where appropriate permissions are in place
  • whether you've chosen to receive our email updates

Information about children and young people

Greenwood Youth Project does not routinely collect the names or personal details of young people where they are not needed. We aim to use anonymous or aggregated information for feedback and impact measurement wherever possible.

In some circumstances, limited personal information may be collected where there is a specific reason to do so, for example to provide prizes or certificates, administer an activity or opportunity, or respond to a safeguarding concern. We will only collect information that is necessary for that purpose and handle it appropriately.

Where practical, we work through schools, parents and carers, and host organisations rather than collecting information ourselves. Safeguarding information is handled separately and securely (see below).

How our website forms work

Enquiries and Ambassador applications sent through this website are processed using Netlify Forms, a service from Netlify, the company that hosts our website. Netlify receives and stores what you send, together with technical information about the submission (such as your IP address, browser details and the time it was sent), and makes it available to us so we can respond. We may also be notified of new submissions by email at hello@greenwoodyouthproject.com.

To protect the forms from spam and abuse, Netlify checks submissions using its own spam filtering, and the forms include a hidden field that people do not see but automated programs often fill in. Submissions that fail these checks may be discarded. Please do not use the website forms to raise a safeguarding concern: safeguarding is handled separately (see below).

Ticking the box to receive email updates is optional and separate. Sending an enquiry never signs you up to anything.

Why we use your information, and our lawful bases

UK data protection law requires a lawful basis for each use of personal information. We do not rely on consent for everything; the basis depends on the purpose:

Safeguarding information

Safeguarding records may include ordinary personal information, special category information (such as health) and, occasionally, information about criminal offences. This information is kept separately from general website and enquiry systems, with access restricted to the people who need it.

We may share safeguarding information without consent when it is necessary, proportionate and lawful to protect a child or young person, for example with a school's designated safeguarding lead, a local authority, the police or other statutory services. We record what was shared, with whom, why and the outcome where known.

Photography and video

We may keep photographs and video where appropriate permissions have been obtained. Subject to those permissions, images may be used on our website and social media, and in impact reporting, promotional materials, presentations and communications.

When we work in schools and other organisations, permissions are agreed with the host. We never assume unrestricted rights to images of children, and we never publish children's names with their images.

Who we share information with

We do not sell personal information. We only share it where there is an appropriate reason, and only what is needed. This may include:

  • schools, colleges, universities and other host organisations we are working with
  • technology providers that help us run the website and our communications, including website hosting and form handling (Netlify), email, video hosting (YouTube, for the films on our About and Impact pages) and, only if you agree, website analytics
  • professional advisers and contractors working on our behalf
  • safeguarding organisations, local authorities, the police and other statutory bodies where necessary

International processing

Some of our technology providers are based in, or may process information in, countries outside the UK, such as the United States. Where this happens we use providers that offer appropriate safeguards recognised under UK data protection law.

How long we keep information

We do not keep identifiable information for longer than we need it. How long depends on the type of information: for example general enquiries, contracts, financial records, Ambassador and speaker information, marketing preferences, photographs and video, programme information and safeguarding records each have different needs, and some must be kept for set periods by law or for safeguarding reasons. We keep an internal retention schedule setting this out.

How we protect information

We use appropriate technical and organisational measures, including encrypted connections (HTTPS), restricted access to the accounts and systems that hold information, and limiting what we collect in the first place.

Your rights

Depending on the circumstances, you have the right to:

  • be informed about how your information is used
  • access the information we hold about you
  • have inaccurate information corrected
  • have information erased
  • restrict how your information is used
  • object to how your information is used
  • data portability
  • withdraw consent at any time, where we rely on consent (for example email updates: use the unsubscribe link or email us)

Making a request or a complaint

To make a request or raise a concern, email hello@greenwoodyouthproject.com. We'll respond within the time required by law.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.

Your information: for young people

We try not to collect your personal information unless we need it.

Most feedback is anonymous.

Sometimes we may need limited information for things such as prizes, certificates or keeping you safe.

We will look after your information and only share it when there is a proper reason to do so.

If you have a question, ask a teacher or a trusted adult to help you contact us.

Changes to this notice

We'll update this notice when the way we use information changes. The date at the bottom shows when it was last updated.
